Exporting faxes to a SharePoint site (New feature in version 8.6)

SOLUTION


Configure the Sharepoint site

Fax export libraries must be created on a SharePoint site to archive sent and received faxes. For PDF files, a document library is recommended. For TIF images, a picture library is recommended. When a fax is exported, the column names of the SharePoint document store with the fax tag element names. If a column is found with a matching name, the value is written to the SharePoint document. For example, all faxes contain a MESSAGE_HANDLE tag, and associated value. If the SharePoint library contains a column with the name MESSAGE_HANDLE, the column will be populated with the fax’s MESSAGE_HANDLE value.

To configure SharePoint for fax archiving, create the libraries (one for sent, and another for received faxes), and add the desired columns. The following describes creating a Picture Library and adding a MESSAGE_HANDLE column to a SharePoint site.

From the SharePoint Site Actions drop down, select ‘Create’.

Create A New Library Using Site Actions

Specify Archive Name and Description
Click ‘Create’ to create the new library.
From the ‘Settings’ menu, select ‘Create Column’.

Create A New Column
Add the desired column name. The following demonstrates adding the MESSAGE_HANDLE column. Select ‘Single line of text’ for the type information, and select Ok.

Create A MESSAGE_HANDLE Column
Repeat the ‘Add Column’ process for each column of fax data you want included in your archive.
Received Archives are created in the same manner.

Name SharePoint Columns using CAS tags

Faxes will be exported to the SharePoint web site specified in NET SatisFAXtion’s SharePoint Export setup. SharePoint Export matches CAS tag names with SharePoint column names in the SharePoint library. To add additional information with the export, add columns with names that match the desired CAS tag.

Configure Export to write to the SharePoint Site

From the Start menu on the NET SatisFAXtion fax server, select Start->NET SatisFAXtion->Configure Export.

Select the ‘SharePoint’ tab.

Specify the root SharePoint URL containing the document or picture library where the faxes will be archived to.
For example, [[http://MySharePointSite/Fax Archives]]

Specify the user name used to log on to the SharePoint server. This is typically an administrator.

Set the password by clicking ‘Configure’:

Enter the password for the SharePoint user, confirm the password and click ‘Ok’.

Specify the SharePoint users domain, and the document or picture library where the sent and received faxes are to be archived.
